Now accepting applications for a part-time on site Services Manager for rural nonprofit animal adoption center in Stokes County, NC. Minimum requirements include Associates Degree with Bachelor's Degree preferred. Proficiency using computers and various software applications, social media, and budgets. Must have valid NC Driver's License and maintain proof of insurance. Office management and supervisory experience preferred. Animal care and welfare experience preferred. Experience reporting to a 501(c)(3) nonprofit board of directors and successful cooperation with other outside agencies. Available flexible schedules including weekdays during center office hours; every other Saturday office coverage required from 10 am until 2 pm; plus on-call rotation availability every other calendar week with close proximity to the FOSS Animal Adoption Center for handling any center emergencies.


This position provides leadership and co-management of the FOSS Animal Adoption Center with authority over the front office, facility maintenance, cleanliness, organization, inventory, and providing exceptional customer service. Monitor and maintain office and security systems and equipment. Oversee receipt of and recording all donations, timely acknowledgements and deposits; receipts, expenses and payroll documents. Responsible for phone calls, emails, maintaining the FOSS website and social media presence, along with community relations while positively and professionally promoting the FOSS mission. Ability to effectively interact with diverse personalities and the public. Recruit, train, schedule and oversee front office volunteers. Assist with animal care and marketing, meet and greets and the adoptions process as needed. Adherence to all policies and procedures as set forth by the FOSS Board of Directors. Attend weekly staff meetings and report to the board at monthly board meetings held in the evening. Other duties as assigned by the Board. Maintain regular and punctual attendance. Physical requirements include ability to talk, hear and speak clearly by phone and in person including attending and speaking at community outreach, area business and school events. General Overview:

 
The Friends of the Stokes Shelter Animal Adoption Center (FOSS) is a non-profit, no-kill center that partners with the Stokes County Animal Shelter (Shelter) to accept and care for healthy dogs and cats until approved, loving, homes can be found for them.  FOSS only takes animals from the Shelter.  At FOSS, we believe strongly in the principle of humane treatment for all living things and that all dogs and cats deserve a safe and permanent home.  We utilize a variety of methods to promote our animals in order to give them their very best chance at finding their forever family.  The goal of FOSS is to decrease the number of homeless dogs and cats in Stokes County by delivering adoption services that exceed community expectations.  We also seek to raise awareness of our adoption services and inform residents on appropriate pet care.

 
Qualifications:

 Required:      Associate Degree or higher.

                        Valid NC driver’s license and proof of insurance.

                        Proficiency using computers and computer applications such as Microsoft Office.

                        Proficiency utilizing various social media platforms.

                        Successful experience with public relations.

                        Successful experience preparing and maintaining a budget.

 
Preferred:      Bachelor’s degree or higher.

                        Experience with animal care and welfare.

                        Experience working within a non-profit organization.

Primary Responsibilities:

This position provides leadership and co-management of the adoption center with specific authority over front office functions and activities as well as licensing and budget compliance.  The FOSS Services Manager is expected to provide exceptional customer service when working with potential adopters, partner agencies, and local government officials.  This position is responsible for managing the FOSS website and social media presence, community relations and for promoting the FOSS mission.  Ensuring adherence to all policies and procedures as set forth by the Board of Directors is essential. 

 

Additional Responsibilities:

The FOSS Services Manager is expected to have a working knowledge of the duties of the Animal Operations Manager and will be ready to act in that capacity when necessary and/or when directed by the board chair.  This position is expected to assist the Animal Operations Manager during medical emergencies or other incidents requiring immediate response, and assist with meet-and-greets and adoptions, as necessary. 

 
Essential Functions and Job Responsibilities:

Build and support a positive relationship with the Stokes County Animal Shelter and other government officials.
Ensure compliance with all local, state, and federal licensing requirements as they relate to services responsibilities.
Maintain cleanliness of the front office and associated storage spaces.
Oversee facility maintenance (HVAC, pest control, laundry equipment, battery powered equipment, etc.).
Monitor and maintain security equipment and systems.
Ensure timely insurance renewals.
Oversee receipt of public donations of cash and in-kind.
Manage the FOSS website and Facebook account and other social media.
Post all pictures and videos of FOSS animals and promote their adoptability.
Address and quickly resolve all negative commentary on the FOSS media sites.
Train and oversee front office volunteers.
Inventory and order supplies as needed for front office operations.
Assist with meet-and-greets.
Assist the Animal Operations Manager in fostering and maintaining positive relationships with area rescue groups and shelters.
Prepare weekly schedules and duties for FOSS Services volunteers.
Provide input to the Animal Operations Manager concerning animal intake and adoption decisions.
Participate in school programs and community events.
Maintain budget compliance, keeping the Board Chair and Animal Operations Manager aware.
Attend monthly board meetings to report on Services issues.
Follow all policies, protocols, and directives of the Board and the Vet-of-Record.
Other new or revised duties as may be assigned by the board.
